Association Social Media & Website Content Guidelines

Preventing Discriminatory, Offensive, or Inflammatory Content

1. Purpose

This guideline sets out standards to ensure all content published on the Association’s website and social media channels reflects our values of respect, inclusion, professionalism, and integrity. It aims to protect the organisation, its members, and the wider community from harm and reputational damage.

2. Core Principles

All communications must:

  • Treat individuals and groups with dignity and respect
  • Promote inclusivity and equality
  • Be factual, accurate, and responsible
  • Reflect the Association’s mission and values
  • Comply with applicable laws and regulations

3. Prohibited Content

The following content must never be published on official platforms:

  • Discriminatory language or content targeting protected characteristics (e.g., race, ethnicity, nationality, gender, gender identity, sexual orientation, religion, disability, age)
  • Hate speech or content that promotes hostility toward any group
  • Offensive, obscene, or degrading language
  • Inflammatory or deliberately provocative statements
  • Personal attacks, harassment, or bullying
  • Stereotypes presented as facts
  • Unverified allegations or rumours
  • Content that could incite conflict, violence, or social division

4. Content Review Process

To prevent inappropriate content:

  • All official posts must be reviewed by at least one designated committee member or communications officer before publication.
  • Sensitive topics (e.g., political, cultural, or social issues) require approval from the Chair or Committee.
  • When in doubt, content should not be published until formally reviewed.
  • Posts should be assessed from the perspective of diverse audiences.

5. Tone and Language Standards

All messaging should:

  • Use inclusive and neutral language
  • Avoid sarcasm, mockery, or emotionally charged phrasing
  • Focus on constructive dialogue rather than criticism
  • Emphasise shared values and positive engagement

6. Member Conduct on Official Platforms

Members posting on behalf of the Association must:

  • Identify when they are representing the organisation
  • Refrain from sharing personal opinions as official positions
  • Avoid engaging in arguments or hostile exchanges
  • Report inappropriate comments rather than responding impulsively

7. Moderation of Public Comments

  • Comments containing discriminatory, offensive, or inflammatory content will be removed.
  • Repeat violations may result in restricted access or further action in line with the Association’s disciplinary procedures.
  • Moderation decisions will be made consistently and fairly.

8. Training and Awareness

  • Committee members and content managers should receive periodic training on inclusive communication and unconscious bias.
  • The Association will review this policy annually to ensure it reflects current best practice and legal standards.

9. Reporting Concerns

Anyone who identifies content that may breach this policy should notify the Communications Officer or Committee immediately. Reports will be handled promptly and confidentially.
